Privacy Policy

InstaRoomBookings ("we", "us", "our") is a service operated by EMPMachines LLC that connects renters with spaces offered by independent owners. This Privacy Policy describes what information we collect, how we use it, and the choices you have.

Information we collect

We collect only what we need to operate the booking platform:

  • Account information: your email address (required) and password (stored as a salted hash, never in plain text).
  • Phone number (optional): if you provide one and separately opt in to SMS via the consent checkbox on the signup form, we use it to send you transactional reservation notifications by text message. Providing a phone number alone does not constitute SMS consent.
  • Booking information: the rooms you reserve, class titles you enter, times, and payment records.
  • Payment information: processed by Stripe. We do not store card numbers, expiration dates, or CVV. Stripe holds this data and provides us with a reference identifier.
  • Owner payouts information: if you list spaces as an owner, Stripe collects the identity and banking details needed to pay you out. That information is held by Stripe, not by us.
  • Technical information: IP address, device type, and timestamps of your requests, used for security, rate-limiting, and debugging.

How we use your information

  • To create and secure your account.
  • To process bookings and route payments to the room owner.
  • To send you transactional communications by email and, where you have separately opted in to SMS, by text message. Email transactional communications include reservation confirmations, upcoming-reservation reminders, cancellation notices, password-reset emails, and account-security alerts. SMS transactional messages are limited to reservation confirmations, upcoming- reservation reminders, notices related to reservations immediately before or after yours on the same space, and cancellation notices. All transactional messages are triggered by your own actions on the platform.
  • To provide customer support when you contact us.
  • To comply with legal obligations (e.g. tax reporting for owner payouts) and to prevent abuse.

SMS messages

Program name: InstaRoomBookings Reservation Notifications

Description: Transactional SMS notifications sent to users who have opted in to receive reservation-related text messages after booking a room through InstaRoomBookings. Messages include reservation confirmations, upcoming-reservation reminders, notices related to reservations immediately before or after the user's reservation on the same space, and cancellation notices.

Message frequency: Approximately 1-3 messages per reservation.

Message and data rates: Message and data rates may apply.

Opt-out: Reply STOP to any message at any time to unsubscribe.

Support: Reply HELP to any message, or contact us at support@instaroombookings.com.

Providing a phone number is optional. Users who do not provide one receive the same transactional notifications via email instead. Opting out of SMS does not affect your ability to use the platform.

We do not share, sell, or otherwise provide your mobile phone number, messaging opt-in data, or SMS consent information to any third parties or affiliates for marketing or promotional purposes.

We may disclose your phone number to service providers, such as Twilio, Inc., solely as necessary to deliver the transactional SMS messages you have requested. These service providers may not use your phone number, SMS consent information, or opt-in data for their own marketing or promotional purposes.

Your information

We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes.

We disclose information only to the service providers we need to operate the platform, and only to the extent necessary for those providers to perform their function on our behalf. Service providers may not use the information for their own marketing or promotional purposes.

How we protect your information

  • All connections use HTTPS.
  • Passwords are hashed with scrypt. Reset tokens are stored hashed with SHA-256 and expire in 30 minutes.
  • Authentication cookies are HttpOnly, Secure, and SameSite-strict.
  • Payment details never touch our servers — Stripe hosts the checkout flow.

Your choices

  • Update or delete your account: visit your profile page. Account deletion requires admin review to ensure any outstanding bookings and payouts are handled properly.
  • Opt out of SMS: reply STOP to any reminder text, or remove your phone number in your profile.
  • Request your data: email us at support@instaroombookings.com and we will send you a copy of the account information we hold about you.

Data retention

We keep account and booking records for as long as your account is active, and for a period after deletion to meet legal, tax, and dispute-resolution obligations (typically up to seven years for payment records).

Children

InstaRoomBookings is not intended for use by anyone under the age of 18. We do not knowingly collect information from minors. If we learn that we have, we will delete it.

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, when appropriate, notify you by email.
